Studio Policies & Procedures

By registering for classes with Emerald City Dance Complex (ECDC), the parent(s)/guardian(s) and the students/dancers agree to be in good understanding of these policies set forth below and agree
to abide by them.
Payment Information
Emerald City Dance Complex tuition is NON-REFUNDABLE and NON-TRANSFERRABLE. No credit or refund is given for missed classes. Tuition consists of a fixed monthly charge. There will be 3 to 5 classes per month, with an average of 4 classes per month. Tuition is not a pay-by-class rate and will not be prorated due to vacations, holidays, pre-scheduled closures or absences. This includes classes missed or canceled due to bad weather, instructor illness, etc.
Missed classes can be made up during the current season in a class at or below your current level. Please inquire which classes may be a good option by emailing us at emeraldcitydancecomplex@gmail.com

Regular season runs from September to June, with a summer season running from late-June until Early August.
A non-refundable annual family registration fee will be charged at the time of your registration. The fee is $30 for 1 child, $45 for 2 or more children.
ALL ENROLLMENTS ARE REQUIRED TO BE ON AUTOPAY. Tuition may be paid via debit / major credit card or bank draft only. No cash or checks are accepted.

A payment method (i.e. credit card, debit card or bank account) is required to be on file when registering your dancer

Tuition will automatically be charged on the 1st of each month from September - June.

Payments received after the 1st of the month will be assessed at a late fee of $30.00.
Withdrawal Policy
ECDC requires 30 days notice, if you wish to withdraw from classes, for any reason. Notification of withdrawal will only be accepted via email to emeraldcitydancecomplex@gmail.com. The email needs to state the dancer's name and classes which you wish to withdraw from. Tuition will be charged until we are properly notified.
Once properly notified, we will confirm your withdrawal through email and ensure that your account is removed from the autopay system for the upcoming billing cycle.
Personal Release
Upon registration, you will sign the Emerald City Dance Complex Liability Release/Waiver Form. Emerald City Dance Complex reserves the right to refuse service to anyone at the owner’s discretion.
Class Placement and Information
Class placement is at the assessment and discretion of the ECDC directors and teachers. Decisions are based on, but not limited to, skill level, physical facilities, age, focus and ability to apply and progress in class.
Communication Expectations
Information may be communicated through email, text or an app called Band. By participating as a registered family at Emerald City Dance Complex. You understand it is your responsibility to read them so that you are aware of any important information that being a parent at Emerald City Dance Complex requires you to be informed of.
Communication about any questions or concerns regarding the teacher(s) or anything pertaining to Emerald City Dance Complex need to go directly through the ECDC Directors. You may not approach the teacher directly, but will look to the directors to communicate concerns with the teacher, or arrange a time outside of class to discuss the issue.
In the event of inclement weather, or other circumstance out of ECDCs control, you will be informed via BAND, text or phone if the class schedule is impacted or the studio is to be closed.
Emerald City Dance Complex will be closed on the following dates:

Class Expectations
It is your responsibility to be on-time. Tardiness may result in your dancer sitting out of class, at the teacher's discretion. If running late, please contact Emerald City Dance Complex via BAND, email, text or phone to let us know.
Dancers will receive feedback, edits and corrections, including hands-on for specific instructions, given by the teachers or ECDC Directors. Dancers should receive this as an opportunity to improve and grow as dancers..
It is understood that if you have scheduled a private lesson, rehearsal time or space rental with Emerald City Dance Complex and must cancel, you are required to provide notice via email 24 hours in advance of that time or you will be billed the full rate.
Dancer’s hair must be pulled up and out of their face to participate in class. In ballet class, hair needs to be pulled up into a bun (only a pony or clipped back is acceptable if hair is too short for a bun).
Dancers are to wear appropriate dancewear and shoes, i.e. leotard, tights, jazz pants, hot shorts, yoga wear, tutus. Baggy clothes are only acceptable in hip hop classes. Dress code can be found here: https://www.emeraldcitydance.com/dress-code
Dancer Etiquette
Gossip, obscene language or inappropriate conversations regarding students, teachers, directors, parents, or coaches will not be tolerated by either parent(s)/guardian(s) or dancer. An ongoing problem by either the parent(s)/guardian(s) or dancer could result in a removal from the Emerald City Dance Complex program.
At our studio, our primary goal is for your children to have fun while learning dance technique and a strong work ethic. We expect all dancers to show respect to themselves, each other and all instructors. You will see our instructors and directors enforcing the following rules:

Be prepared for class. Proper dress code is required for all dance classes.

Hair must be pulled up and out of their face. Ballet requires hair in a bun that will not fall out.

Use the bathroom prior to class.

Do not have frequent class absences.

No cell phones in the dance class space.

Cell phones are allowed in the dancer lounge areas, but proper cell phone etiquette must be followed.

No food, drink or gum is allowed in the studios. Water is acceptable.

Be respectful and kind to instructors, peers and staff.

Do not talk during class unless you are asking a question.

Be willing to try new dance material. Put positive energy into your dance class.

View feedback and corrections as a positive with the intention of helping you improve.

No leaning, lounging or hanging on the Ballet Barres.

No touching the studio mirrors as they are fragile and can break easily

If injured, tell the instructor prior to class. Work slowly & carefully or observe.

If ill, please do not come to class if you are still contagious.

If you must leave early, notify the instructor prior to class.
Parent/Guardian Expectations
Observers are asked to leave classroom and dancer management to the teachers, coaches and ECDC Directors. All observers are asked to wait in the lobby or drop off for classes. This allows both dancers and teachers to be more focused in class.
By entering the studio, visitors/dancers consent to be photographed, recorded and/or filmed by Emerald City Dance Complex photographer(s)/videographer(s) and to have the photographs/recording/film reproduced and disseminated for internal, security, and promotional purposes.
I understand that Emerald City Dance Complex is not responsible for lost or stolen valuables. If your item has been misplaced please check out the Lost + Found. Items must be claimed in person. If items go unclaimed for more than 30 days they will be donated to the swap box or given to a local charity.
